In the highly automated world of Amazon logistics, the Advance Shipment Notification (ASN) is one of the most important pieces of data you will ever create. It is a digital packing list that tells Amazon exactly what is in a shipment before it arrives. Getting the ASN right is not just good practice; it is a mandatory requirement for a smooth receiving process and for avoiding financial penalties.
What is an ASN?
An ASN is an electronic document that links your digital shipment information to the physical goods being transported. For vendors, it is created in Vendor Central or via an EDI connection. For sellers, the "Mark as Shipped" step in the Send to Amazon workflow serves a similar purpose.
An accurate ASN must contain:
- Precise Contents: The exact number of cartons and the exact number of units of each ASIN within those cartons.
- Shipment and Tracking Information: The Bill of Lading (BOL) number and other tracking details.
- Link to the Appointment: The ASN is electronically tied to the delivery appointment booked in Carrier Central.
Why is the ASN So Important?
When your shipment arrives at the fulfillment center, the first thing the receiving team does is scan the pallet label. This scan pulls up the ASN in their system.
- Enables Fast Receiving: If the physical pallet perfectly matches the ASN, the receiving process can be highly automated and extremely fast. The shipment can be checked in within hours.
- Prevents Problems: If there is a discrepancy—for example, the ASN says there are 10 cartons but there are only 9 on the pallet—the entire shipment is flagged. It must be set aside for manual processing, which can cause days or even weeks of delays.
- Avoids Chargebacks: For vendors, an inaccurate or late ASN is a guaranteed chargeback. This is a direct financial penalty deducted from your invoice. For sellers, it can lead to warnings and potential suspension of your shipping privileges.
How to Create a Correct ASN
The key to a correct ASN is having a process that ensures 100% accuracy.
- Finalize the Shipment First: Never create the ASN until the shipment is fully packed, sealed, and ready to go. The ASN must reflect the final, real-world state of the shipment.
- Double-Check All Quantities: Implement a two-person check or a scanner-based system to verify the carton and unit counts before you submit the ASN.
- Submit Before the Truck Arrives: The ASN must be transmitted and accepted by Amazon's system before the carrier arrives for their delivery appointment.
